WEF Davos planning timeline: six months to the Forum
Plan backwards from opening day. The earlier you start, the better the drivers, the rooms and the options.
In short
Start six months out: secure chauffeurs and rooms in July or August, fix the shape of the trip in September, confirm the hotel in October and start registration in November or December.

Why a timeline
Plan the Forum backwards
The World Economic Forum runs 18–22 January 2027. Everything on this page counts back from that date.
A WEF Davos planning timeline is the simplest way to keep a delegation under control. Davos is small, its hotels are limited and the best chauffeurs are booked early. A delay at month six becomes a problem at month one.
The dates below are our recommendation, based on eight years at the Forum. Official registration windows are set by the authorities each year, and we confirm them with you in writing.
The calendar
Seven steps from first call to opening day
Secure chauffeurs and rooms
Enquire for chauffeurs and vehicles. The drivers with Davos experience are taken first. Book accommodation before prices climb.
Fix the shape of the trip
Delegation size, vehicle mix, arrival airports and the mode for the last leg: road, helicopter or private jet.
Confirm the base
Hotel in Davos or Klosters, and a first conversation with your close-protection team about routes and drop-off points.
Registration and guest details
Once the hotel is confirmed we prepare vehicle and driver registration, collect names and flight details and agree the back-up plan.
Lock the arrivals
Flight numbers, private jet handlers, helicopter slots and the alternatives if the weather turns.
Briefing
Contact with your security team and the on-site coordinators. Routes, drop-off points, alternatives. A last look at the forecast.
On site
Our dispatch team responds to changes and new requests around the clock, and informs you of any delay before you notice it.
Questions
Frequently asked questions
How early should I book a chauffeur for the WEF in Davos?
Enquire in July or August of the year before the Forum. Hundreds of vehicles are deployed for the week, and the chauffeurs with real Davos experience are taken first. Late requests are possible, but the choice of drivers and vehicles narrows quickly from October.
Does Ernest & Sons register vehicles and drivers for the WEF?
Yes. We handle vehicle and driver registration for you and advise which badge suits each client. Procedures and deadlines are set by the authorities and change from year to year, so we work from the current official instructions.
Can we still book late?
Late requests are possible, but the choice of drivers and vehicles narrows quickly from October. Contact us as early as you can and we will tell you what is available.
Can you invoice a whole delegation on one bill?
Yes. We centralise invoicing and follow-up: one coordinator, one invoice for the whole programme, and a clear follow-up of every movement.
